Security Measures

We understand the privacy, security and confidentiality concerns of our customers and have taken necessary security measures to ensure that your confidential information is kept secure.

The following is a list of the privacy, security and confidentiality measures that we ensure:

  • 21 CFR Part 11 Compliant: We have applications and process which are validated through various qualitfication processes. The end users get user name and password protected systems. Audit trails are maintained on any changes made. Data and retrival are stringently followed. Access controled to various domains.
  • Firewalls and Antivirus software: All the systems at SPSOFT have antivirus software and firewalls. The systems are updated with virus definitions on a daily basis. We conduct technical evaluations on a routine basis to ensure that all the systems in our office meet the necessary security agreements.
  • Password protected systems: All our employees use passwords to logon to their computers. This system prevents unauthorized access to data. Every professional at SPSOFT is given a unique user ID and password when accessing customer data.
  • Training on security: All the employees at SPSOFT are given training on security, privacy and confidentiality. We have a written privacy procedure, including a description of staff that has access to protected information, how it will be used and when it may be disclosed.
  • Absence of external drives: We have disabled all the external drives in the systems at SPSOFT.
  • Offices guarded by security personnel: All our offices are guarded by security personnel on a 24x7x365 days basis.
  • Detection of security breaches: We have stringent processes to monitor and detect any breach of security. We also conduct routine audits.
  • Limited access to data: At SPSOFT, we store our data at a data center and have installed physical access limitations to the data.
  • Electronic devices are not allowed: The professionals at SPSOFT are not allowed to bring laptops, PDAs or any other electronic device into our offices.
  • Paper/printed documents are not allowed: Our employees are not allowed to bring in or take out any paper, printout or written documents without permission.
  • Restricted print permissions: All the systems at SPSOFT have restricted print permissions.
  • HIPAA advantage: We possess the HIPAA advantage, which helps ensure privacy. HIPAA (Health Insurance Portability and Accountability Act of 1996) is a uniform, federal floor of privacy protections for consumers. It boundaries the ways that entities can use patients’ personal information and protects the privacy of all medical information no matter what form it is in.
  • Strict administrative procedures: We have stringent administrative procedures to guard document availability and to ensure data integrity and confidentiality
  • Security measures to prevent vandalism: We have security measures to prevent the vandalism or theft of any information stored in our systems. At SPSOFT, we have rigorous security measures that ensure the security and integrity of protected information
  • Random checks: We hold random check / audits of systems and employees on a regular basis.
  • Clean desk policy: Each SPSOFT associate understands and adheres to the clean desk policy, by which no study documents are left unattended on the working table or on the printer.
